This Refund Policy applies strictly to paid tournament registration entry fees processed for competitive esports events organized by The Gamers Lodge (https://www.thegamerslodge.games/), operating in Nigeria.
The Gamers Lodge operates gaming tournament initiatives, including featured events such as the Battle Fury Championship (Call of Duty: Mobile Battle Royale mode, 4-Player Squad format). Where tournament registration requires an entry fee, payments are collected to fund event operations, server administration, bracket organization, and prize pool distribution.
Core Refund Policy Rule
Registration fee refunds are available when the tournament itself does not proceed. A participant does not receive a refund simply because they personally cannot or decide not to participate.
Tournament Does Not Proceed
Registration fee refunds are available primarily when the event itself is officially canceled or cannot take place under platform operations.
Participant Withdrawal or Disqualification
Registration fees are non-refundable for player-initiated withdrawals, match absence, or competitive penalties resulting from rule breaches.
When Refunds Are Available
A tournament entry fee refund may be approved and issued under the following event-level non-occurrence conditions:
If The Gamers Lodge officially cancels the tournament and the event will not take place, affected paid registrations may be refunded.
If operational or technical circumstances prevent the tournament from taking place, refunds may be issued to affected registered competitors.
Where a payment is successfully charged but registration cannot be completed or confirmed due to a system error after investigation.
When Refunds Are Not Available
Registration fees are strictly non-refundablein situations resulting from a participant's own decisions, personal schedule conflicts, squad changes, or failure to attend. Refunds are generally not available under any of the following circumstances:
- A player or squad voluntarily withdraws
- A player changes their mind after registering
- A participant fails to show up on match day
- A squad is incomplete or unavailable at start time
- Player personal internet / device technical failure
- Disqualification penalty for rule violations
Disqualification & Rule Violations
Disqualification is a competition penalty imposed for misconduct, dishonesty, or failure to comply with tournament rules. Disqualification is NOT an event cancellation.
NO REFUND FOR DISQUALIFIED PARTICIPANTS:
A participant or squad that is disqualified from a tournament is not entitled to a refund under any circumstances. Removal from a tournament due to competitive misconduct voids all registration fees paid.
- Using hacks, aimbots, wallhacks, or unauthorized third-party software/emulators.
- Exploiting game bugs, map glitches, or collusion between opposing squads.
- Submitting fraudulent IGNs, player UIDs, or impersonating another competitor.
- Unsportsmanlike conduct, toxic harassment, or abuse toward tournament admins or players.
- Bypassing device restrictions or violating the Terms of Service.
Successful Payment with Registration Failure
If a tournament entry fee payment is successfully processed by the payment gateway, but the corresponding registration record fails to generate on our platform due to a technical error:
INVESTIGATION & RECONCILIATION PROCEDURE:
The Gamers Lodge will investigate the transaction reference upon notification. A failed registration record following a confirmed payment does notautomatically result in an immediate refund; our primary objective is to reconcile the transaction and secure the competitor's registration slot.
Manually verifying payment receipt and confirming the squad's tournament slot in match lobbies.
Processing a full refund if tournament lobby capacity has been filled or the slot cannot be assigned.
Tournament Postponement Rules
In circumstances where an event must be postponed due to server maintenance, game publisher outages, emergency scheduling adjustments, or force majeure events:
Event postponement does not automatically create a refund entitlement. If a tournament is rescheduled, existing paid registrations remain valid for the new tournament date. Specific refund guidelines for rescheduled events will be determined based on operational circumstances and published via official announcements.
Payment Processing & Paystack
Tournament entry fee transactions are processed through integrated payment gateway providers, such as Paystack.
GOVERNING AUTHORITY:
This Refund Policy governs tournament refund eligibility. Payment gateway terms apply separately to financial transaction processing. Paystack does not dictate tournament refund rules or determine competitive eligibility.
How to Request a Refund
Where a competitor believes they meet the criteria for a refund (such as official tournament cancellation or payment reconciliation), they should submit a request to our official inbox:
- Full Name of the registrant or adult team representative.
- Registration Email Address & Contact Number.
- Tournament Name (e.g., Battle Fury Championship).
- Paystack Transaction Reference / Payment Receipt ID.
- Clear description of the refund request reason.
Refund Processing & Method
When a refund request is approved, The Gamers Lodge will process the refund via an appropriate payment method associated with the original transaction where reasonably possible.
Final credit posting timelines depend on financial institution and payment gateway settlement schedules. The Gamers Lodge does not guarantee same-day credit posting.
Minors & Adult Payment Policy
The Gamers Lodge permits tournament participation for individuals aged 13 years and older. Participants aged 13–17 participate with parent/guardian consent and payment handled by an adult (parent/guardian or adult team representative aged 18+).
APPLICABILITY OF REFUND RULES TO MINORS:
The same tournament refund rules apply equally to minor registrations. Minor status does not create an automatic refund right for voluntary withdrawal or disqualification. If an approved refund occurs, funds are returned to the originating payment transaction method. Payment by an adult team representative does not establish legal guardianship over minor squad members.
Relationship to Other Policies
This Refund Policy operates in conjunction with our Terms of Service and Privacy Policy. The Terms of Service govern tournament rules and disqualification penalties, while the Privacy Policy governs personal data processing.
Nothing in this policy is intended to exclude or limit non-waivable statutory rights under applicable Nigerian law.
